Complaint Resolver
Complaint Resolver analyzes a customer complaint and helps you respond well: sentiment and urgency are assessed, the core issues are extracted, and you get normally three response drafts in different tones plus internal notes and prevention tips. The analysis is an AI judgment of the text you paste.
Who it's for
Anyone receiving complaints by email, social media or reviews who wants to respond thoughtfully even when the complaint is irritating. The tool gives you the distance you need.
Prerequisites
- Available from Scout (the free tier)
- 2 credits per analysis
- The complaint text, at least a few sentences
Step by step
- Paste the complaint.
- Pick the channel (email, social media, review or chat); the drafts' tone adapts to it.
- Optionally add company name and industry for sharper responses.
- Run. Credits are refunded automatically if the analysis fails.
Reading the results
- The sentiment gauge and urgency help you prioritize: critical urgency with an escalation recommendation means this should not wait until tomorrow.
- The response drafts differ in tone; pick what fits the relationship, and replace
[CUSTOMER_NAME]before sending. Always read through; you know the case, the model doesn't. - The internal notes are for the team, not the customer.
- The prevention tips are worth collecting over time; recurring patterns there are a product signal.
Common problems
- Button disabled: the complaint text needs at least 20 characters.
- "Could not parse the AI response": try again; failed runs are refunded automatically.
Limitations
- Results are not saved; copy the draft you use.
- The tool does not assess legal obligations in complaint cases; where statutory deadlines apply, involve the right person.
